Description

Responsible for providing general support potentially, for multiple teams with a variety of administrative activities in order to support an effective, efficient and compliant business. The K level for this position is based on complexity of accountabilities including breadth and/or depth of knowledge and skills required.

If you join our team, you may have the following responsibilities:

Manage the calendars.
Organize and schedule appointments.
Plan meetings and take detailed minutes.
Prepare letters, reports, PowerPoint presentations and assemble Briefing packs and pre-read materials.
Assist in the preparation of regularly scheduled reports.
Develop and maintain the office Support share folder.
Order office supplies and research new deals and suppliers.
Maintain contact lists.
Book travel arrangements.
Submit and create shopping carts through SAP system.
Provide general support to visitors.
Act as the point of contact for internal and external clients.
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Set-up on-site/off-site meetings and conferences, setting up catering, transportation, material preparation, etc.
Coordinate the arrangements of transportation with logistic team if needed.
Assist the guests and contractors for hotels booking.
Support others team for admin work.
Provide supports to reception area if they need.
Coordinate with Printing Press agency for business cards request.
Handling DHL external mail.
Approve the invoice at SAP system.
Ordering stationary through SAP for both the office and field
Monitoring the supply within the BP office
Sending field stationary orders
Coordinate for BP lunch Banquet and meeting lunch requests
Coordinate for BP office refreshments.
Handling petty cash for the department
Provide Email assistance as necessary
Schedule routine calls and events with key stakeholders
Set-up on-site/off-site meetings and conferences, setting up catering,
transportation, material preparation, etc.
Prepare letters, reports, PowerPoint presentations and assemble
briefing packs and pre-read materials
tracking to resolve issues when needed
Prepare regular travel arrangements & support all VIP business visits arrangement.
